Requirement 

Sanjeevini Co-operative Institute of Nursing & Hospital sought to modernize its operations by adopting a scalable Cloud-Based HIMS. With this change they meet their needs of its expanding 250+ bed multispecialty facility. Another key objective was the implementation of an insightful patient medical record system. It is to ensure that healthcare providers could access comprehensive, real-time data to enhance care delivery. 

Additionally, there was a critical need to retain and migrate legacy data into the new cloud system. The cloud system is designed to allow the hospital to make more informed, data-driven decisions. The modernization efforts also required strict adherence to government regulations. Our cloud system includes compliance with NABH and NABL standards. It is also known to maintain the highest levels of quality and safety in healthcare services.

Challenges Faced by Sanjeevini Co-operative Institute

The hospital encountered numerous challenges due to its reliance on an outdated on-premises legacy system. These challenges included persistent performance issues, which led to system slowdowns and disruptions. They also faced limited scalability that prevented the hospital from expanding its operations to meet growing demands.  

Frequent system unavailability further exacerbated these problems, creating obstacles in day-to-day operations. Moreover, the lack of analytical insights into critical hospital functions made it difficult for staff to access and interpret patient medical records efficiently. This situation resulted in missed opportunities for improving patient care.  

The hospital also struggled with manual processes that were prone to human error, particularly in accounting, where mistakes led to prolonged claim processing times and delayed accounts receivables, ultimately straining the hospital’s financial health. Inefficiencies in the purchase and approval processes added to the operational burden, slowing down essential activities and negatively affecting both patient retention and revenue growth. 

How Ezovion Tackled Their Situation?

The modernization initiative at Sanjeevini Co-operative Institute of Nursing & Hospital involved a complete workshop led by Ezovion’s solution architect, lead developers, and business analysts. This collaborative session focused on understanding the specific needs and challenges of the hospital staff. Our team carefully documented the discussions, and all stakeholders reviewed and approved the resulting documentation, ensuring a clear and mutual agreement on the project’s direction.

We strategically phased the rollout of HIMS, prioritizing critical hospital departments first. such as the Outpatient Department (OPD), Inpatient Department (IPD), Operation Theatres (OT), Intensive Care Units (ICU), Laboratory, Pharmacy, Radiology Information System (RIS), Picture Archiving and Communication System (PACS), Bed Management, Accounting, and Revenue Cycle Management (RCM). We designed this phased approach to minimize operational disruptions and ensure a smooth transition to the new system.

Team of experts executed data migration and integration with precision, ensuring that all historical and current patient information was securely transferred without any loss. We customized the system to match the hospital’s Standard Operating Procedures (SOPs), allowing it to integrate smoothly into the hospital’s existing workflows.

To support the transition, a comprehensive knowledge transfer (KT) process was implemented, training hospital staff on the new system. This was followed by reverse knowledge transfer to gather feedback and make necessary refinements. Ezovion provided on-site technical support for six months after the implementation, closely monitoring key performance indicators (KPIs) and optimizing the system to ensure it met the hospital’s needs and delivered the expected improvements.
